Our wide range of training varies from Employee Awareness and Induction training, specific safety training such as Incident and Event Investigation and Fire Safety training, to nationally recognized and accredited legislative, hazard specific and OHS management system training.

Common Pitfalls with Training

The USSA Global auditing specialists evaluate training management systems on a daily basis and have seen a diverse range of training management systems. Three of the common issues observed are:

  • Across the board (One size fits all) training programmes
  • Lack of understanding of Training Management Systems
  • Excessive Refresher Training

ISSUE 1: One size fits all training

ISSUE 1:  One size fits all training

Organisations opt to train everyone in everything e.g. administrators are trained in isolation practices, electricians are training in hot work, even if they have nothing at all to do with hot work activities.

The pitfalls of this:

  • An organisation can undermine its entire training management system; employees and contractors can become disillusioned with the training program, as they are not able to clearly identify how it relates to them and their roles.
  • Training overload, by having to participate in irrelevant training, learners often “switch off” and when meaningful content or programs are presented to them they do not recognise the importance of this.
  • Training costs money and training personnel in aspects, which have no relevance or meaning to their role, is a waste of capital and resources.

How USSA Global can help:

USSA Global will complete detailed analysis of all the roles within your organisation and develop a comprehensive training needs analysis and training matrix, so that each employee receives the position specific training they need. This will not only result in efficiency savings, which can be more effectively spent elsewhere, it will also empower the workforce and enhance employee performance and job satisfaction.

ISSUE 2: Lack of understanding of Training Management Systems

ISSUE 2:  Lack of understanding of Training Management Systems

The USSA Global team interview hundreds of people over a diverse range of industries every year and one of the most common answers to the question “describe how you manage training within your organisation?” is “we have this training matrix”.

Unfortunately having a stand-alone training matrix does not in itself constitute an effective training management system, rather it is just one tool that can be used to effectively manage training.

How USSA Global can help:

USSA  Global can embed within your organisation an effective Training Management System, which should be made up of 8 elements. All of these elements are required, in order to ensure effective implementation, including:

  • Development of role profiles (position descriptions) which outline core activities and required skills and knowledge.
  • Identify training requirements relevant to the specific role; this process is known as completing a Training Needs Analysis.
  • Conduct a Gap Assessment between the role profile training needs and the training that the person completing the role has.  Where gaps are identified, it indicates that the person completing the role requires further development/ training.
  • Create a Development Plan for personnel who have any training gaps.
  • Schedule and implement Training Program based on Development Plan requirements.
  • Record the training completion on a Training Database / Matrix or similar.
  • Conduct a Training Effectiveness Review to assess the level of competence and retained knowledge imparted during the training
  • Audit the Training Management System, as part of the integrated management system audit program to provide feedback and highlight any areas for further improvement.

ISSUE 3: Excessive Refresher Training

ISSUE 3:  Excessive Refresher Training

There are a number of reasons why personnel can end up being trained, retrained and trained again on the same thing, including:

  • Contractual requirements: An organisation may provide services to a number of clients who all have their own management system and risk control measures, therefore personnel may be required to complete similar training time and time again.  This causes training fatigue and as mentioned above, disillusions the learner and they switch off.
  • Loss of training records: An ineffective records retention and management system can have huge implications to an organisation including prosecutions from government organisations like WorkSafe.  If an injury occurs and an organisation is not able to demonstrate through provision of records that the injured personnel had been trained and deemed competent in their work activities it could result in heavy fines and even imprisonment.
  • In some organisations entire workforces have been retrained in training programs that they may have completed in under a year due to administrative errors and loss of records.  Imagine the cost to the organisation; it is not just the person’s time that is lost, but also the production outputs and the organisations reputation and credibility that is impacted.

How USSA Global can help:

USSA Global have a number of effective strategies to overcome all of these issues and can assist you in implementing an effective Training Records system, as part of your overall Training Management System, to ensure that accurate employee training records are maintained.
